Time-saving audits on the move 16 March 2010

Enhancements to Integrated fm’s Asset Management and  Mobile fm modules enable mobile operatives to carry out a virtually unlimited range of standard audits (cleanliness inspections, health and safety, verifying waste collections etc) while on the move. As such, these enhancements facilitate compliance with Key Performance Indicators and Service Level Agreements, delivered using a paperless solution feeding data directly from PDAs to the central database for reporting.

Each user-defined audit is set up in Integrated fm’s Asset Management software and linked to operatives’ mobile devices via the Mobile fm service. Whenever the measured parameter is recorded as scoring below an acceptable standard a Helpdesk task is automatically generated and assigned to the appropriate person. Reminders can be configured to generate automatic prompts of regular audits and inspections.

The system is easy to use, with the ability to create templates that form the basis of subsequent audits to eliminate duplication. It also incorporates reporting functions so that information can be viewed in a variety of ways, including date range, individual buildings or entire estates.

These new enhancements can also be used in conjunction with Integrated fm’s Condition Based Monitoring functionality that delivers value based management data collection such as water temperature, pressure etc. against assets held within the system.

Typical uses for the Mobile Audit system include:

Health & Safety inspections
Cleanliness of specific areas, spillages, litter, bins empty etc
Checking for hazards e.g. loose tiles, bird droppings etc
Verifying staff are wearing appropriate uniforms/protective equipment
Building fabric condition
Fleet management with dates of tax, MOT, insurance
Petrol credit cards within pre-defined budget limits

Typically, each parameter being audited is scored out of 5, with 1-3 being unacceptable, 4 being the target performance and 5 being exceptional. Any parameters scoring 1-3 will automatically generate a Helpdesk job.

However, the system is very flexible and can be configured to suit each user’s requirement.

For users of Integrated fm’s Asset Management and Mobile fm modules there is a quick and simple upgrade to include the new enhancements, with no training requirements. This upgrade can be carried out remotely for subscribers to the Hosted CAFM service.
